Information collected may include names, dates of birth, contact details, medical and developmental history, assessment results, reports, case notes, and correspondence. Audio or video recordings may be used with consent.
We do not store credit card details. Payments are processed securely through third-party payment providers.
Where Information Comes From
Information is provided directly by clients or, in the case of children, their parent(s)/guardian(s). With consent, information may also be received from schools, medical professionals, or other allied health professionals.
How We Use Your Information
Your information is used to:
Provide assessment and therapy services
Maintain clinical records
Manage appointments, accounts, and communications
Comply with legal, professional, and financial obligations
Data may be used for research or training purposes only with written consent.
Data Retention
Clinical records: retained for 5 years after the last session (unless required longer by law or consented use).
Financial records: retained for 6 years in line with Revenue requirements.
Contact data: retained for 6 years or longer where legally required.
Records are securely destroyed after the relevant retention period unless legal or safeguarding reasons require otherwise.
Sharing Information
We do not share personal data outside Letterkenny Speech Therapy unless:
You have given explicit consent
It is required by law (e.g. Children First Act 2015)
It is necessary for financial or administrative purposes
Third-party processors used may include payment providers (e.g. Stripe, SumUp) and clinical record systems (e.g. WriteUpp), all of whom are GDPR-compliant.
Consent
Clients are provided with this Privacy Statement before services begin. Written or digital consent is required before assessment or therapy can commence. Consent may be withdrawn at any time by contacting Letterkenny Speech Therapy.
Data Security
We take appropriate technical and organisational measures to protect your data, including:
Secure electronic systems with password protection
Locked storage for physical files
Restricted access to authorised personnel only
Data is stored only for as long as necessary and is kept accurate and up to date.
Your Rights
You have the right to access, correct, or request deletion of your personal data in line with GDPR. Requests must be made in writing. For children under 16, requests are made by a parent or guardian.
